What is Communication Management Plan?

A Communication management plan or CMP, is a process of creating a cohesive system for your company in order to easily disseminate tasks, for better feedback with employees, and having an efficient tracking system for the objectives and goals of your company. They are essential in strengthening work relationships and avoiding miscommunication within the company. The essence of Communication management Plans is about keeping every worker employed updated on what’s going on within the company. In planning the communication process of the CMP, the concerns should always focus on delivering the information that employees need to know, what type of information they should be receiving, who will receive the information, and how it should be delivered to the people inside the company. It is important to note that the types of information that your company should communicate will include project updates, project status, the baseline information, designating of tasks, monitoring of the project’s progress, goal dates.  The goal is to keep the people in the loop on everything the company does. It is for companies to practice transparency in business. This is also to show accountability on the company’s end for stakeholders as it exhibits what the project is all about and the target goals that should be done with it. Through this, stakeholders get the opportunity to review company projects if it is up to the standard they sought after and is worth investing for.

What are the necessary factors that we should consider in creating a Communication Management Plan?

A CMP has to be specifically clear with the company’s objectives. In planning out your communication plan, you have to send a clear message to your employees on what are the tasks they’ll be working on and what you expect to come out of it.  What do you want to achieve in your company? What are the necessary steps that should be done to achieve the goals your company has set out?

Use a specific medium or channel for your CMP to be effective. Whether it be through emails or through social media, you must have a specific medium for you and your employees to send messages. With our technology today being more progressive than it was before, your company has more options in using various media to layout your CMP; but remember, use the channels that are familiar to your employees. Channels that already have a history of your company. Sometimes traditional channels such as email, the use of bulletin boards, etc are effective in communication.  

Know what your employees want. Miscommunication within the company can happen plenty of times. Sometimes employees aren’t aware of what to do in performing their tasks or the goals that your company wants to set out. Try using a communication style that is digestible to them. A communicative approach that is easier for them to grasp. Send them linear and organized messages so that there won’t be any existing communication gaps in delivering the company tasks.

Always monitor the progress of your employee’s tasks. It is not enough that you relay what your employees should be doing, but also check up on them from time to time to see their progress. This is so that you can monitor if your company is on the right track in achieving its objectives and goals.

    In conclusion, better communication with company employees is ideal for your business.  All projects within the company should require a cohesive communication plan that employees are able to understand. Employees must always know what they are doing and what they should be doing. They should always know the agenda of the company in order to perform their given tasks better. For some projects, it may require a different communication approach, as not all company projects will have the same types of com­munication in distributing the needed information in doing tasks. Still, the objective of the Communication Management Plan is to document the different types of information that the employees, the stakeholders need to know, in order to perform their roles in the company better.
